Welcome to Alana’s Executive Supports (“Alana’s Executive Supports,” “we,” “us,” or “our”). These Terms & Conditions govern your use of our website, virtual assistant services, administrative support services, digital products, and related services.

By accessing our website, purchasing a product, booking a consultation, or engaging our services, you agree to be bound by these Terms & Conditions. If you do not agree with these terms, please do not use our website or services.

1. About Our Services

Alana’s Executive Supports provides virtual assistant and administrative support services to entrepreneurs, professionals, small business owners, and other clients.

Our services may include:

  • Email management

  • Calendar management

  • Scheduling and appointment coordination

  • Customer support

  • Client communication

  • Administrative support

  • Data entry

  • CRM support

  • Follow-up management

  • Social media administrative support

  • Other services specifically agreed upon with a client

The specific services, hours, deliverables, deadlines, pricing, and responsibilities will be outlined in the applicable proposal, service agreement, invoice, or other written agreement.

2. Client Engagement

A client relationship begins when both parties have agreed to the services, pricing, scope, and applicable terms.

Depending on the service, clients may be required to complete an onboarding process and sign a separate Client Service Agreement before work begins.

A proposal, invoice, payment, or verbal discussion does not automatically guarantee that services will begin until the engagement has been formally accepted by Alana’s Executive Supports.

3. Scope of Services

Services will be performed according to the agreed-upon scope of work.

Requests that fall outside the original scope may:

  • Require additional hours

  • Require an additional fee

  • Require a revised service package

  • Be scheduled for a future service period

  • Be declined if they are outside our expertise or available capacity

We will communicate with the client before performing substantial work that would result in additional charges whenever reasonably possible.

4. Client Responsibilities

Clients agree to provide accurate, complete, and timely information necessary for us to perform the agreed-upon services.

Clients are responsible for:

  • Providing necessary documents and information

  • Providing appropriate access to required platforms

  • Providing accurate instructions

  • Responding to questions in a timely manner

  • Reviewing completed work when necessary

  • Maintaining valid payment information

  • Maintaining ownership and authority over information and accounts provided to us

Delays caused by missing information, unavailable access, or delayed client responses may affect project timelines and deadlines.

5. Account Access and Security

When necessary to perform services, clients may provide access to business accounts, software, email accounts, calendars, CRM systems, social media accounts, cloud storage, or other platforms.

Clients authorize Alana’s Executive Supports to access these accounts only for the purpose of performing agreed-upon services.

We will make reasonable efforts to protect account credentials and confidential information.

Clients should not provide access to information that is unnecessary for the services being performed.

Where possible, clients should use appropriate user permissions, delegated access, or account-sharing features rather than providing personal passwords.

6. Confidentiality

Alana’s Executive Supports understands that clients may provide confidential business information during the course of an engagement.

We agree to use confidential information only as reasonably necessary to perform the agreed-upon services and will make reasonable efforts to prevent unauthorized disclosure.

Confidential information may include:

  • Business plans

  • Customer information

  • Internal communications

  • Financial or operational information

  • Login or account information

  • Marketing strategies

  • Documents

  • Proprietary business information

Confidentiality obligations may also be addressed in a separate confidentiality or non-disclosure agreement.

7. Pricing and Payment

Service pricing will be communicated to the client before work begins.

Depending on the service arrangement, payment may be required:

  • In advance

  • Monthly

  • Per project

  • Per service package

  • Per hour

  • According to an agreed-upon payment schedule

Invoices are due according to the payment terms stated on the invoice or service agreement.

Failure to make payment on time may result in:

  • Suspension of services

  • Delayed work

  • Additional administrative fees where disclosed and permitted

  • Termination of the client relationship

Alana’s Executive Supports reserves the right to pause work on accounts with outstanding balances.

8. Retainer and Hourly Services

For monthly retainer packages, the number of hours included will be specified in the applicable service agreement or package.

Unused hours generally do not roll over into future billing periods unless otherwise agreed in writing.

Additional hours requested beyond the agreed package may be billed at the applicable hourly rate.

Retainer packages reserve service capacity for the client and do not guarantee that every requested task can be completed within the available hours.

9. Scheduling and Communication

Clients are responsible for communicating requests through the designated communication channels established during onboarding.

Communication channels may include:

  • Email

  • Client portal

  • Project management software

  • Scheduled meetings

  • Other agreed-upon business communication platforms

Clients should provide reasonable notice for meetings, deadlines, and urgent requests.

Alana’s Executive Supports does not guarantee immediate responses unless an emergency or priority-response arrangement has been specifically agreed upon.

10. Business Hours

Our standard business hours and response times will be communicated during the client onboarding process.

Messages received outside of normal business hours may be answered on the next business day.

Unless specifically agreed upon, Alana’s Executive Supports does not guarantee availability on weekends, holidays, or outside standard business hours.

11. Cancellations and Termination

Either party may terminate a service relationship according to the terms outlined in the applicable Client Service Agreement.

Clients may be responsible for payment for services already performed before termination.

If a client terminates services before the end of a prepaid service period, refunds will be handled according to the applicable Refund and Cancellation Policy or service agreement.

Alana’s Executive Supports reserves the right to terminate services if:

  • Payments are repeatedly overdue

  • A client violates these Terms & Conditions

  • A client engages in abusive, threatening, discriminatory, or inappropriate behavior

  • A client requests unlawful or unethical services

  • A client repeatedly exceeds the agreed scope of work

  • Continued work would create an unreasonable business, legal, or security risk

12. Digital Products

Alana’s Executive Supports may offer digital products, including journals, workbooks, templates, guides, PDFs, and other downloadable or electronically delivered materials.

Digital products are provided for personal or authorized business use only.

Unless otherwise stated, digital products may not be:

  • Resold

  • Redistributed

  • Reproduced for commercial resale

  • Shared publicly

  • Uploaded to file-sharing websites

  • Modified and sold as another product

  • Claimed as the purchaser's original work

Purchasing a digital product does not transfer copyright ownership to the purchaser.

13. Digital Product Delivery

Digital products may be delivered electronically through email, a website, customer account, download page, or third-party delivery platform.

Customers are responsible for providing an accurate email address and ensuring they have access to the technology necessary to download and use the product.

If you experience a legitimate technical issue accessing a purchased digital product, please contact us for assistance.

14. Refunds

Because digital products are delivered electronically, digital product purchases may be non-refundable once the product has been accessed or downloaded, except where required by applicable law or where otherwise stated in our Refund Policy.

Service refunds, cancellations, and credits will be handled according to the applicable service agreement and Refund/Cancellation Policy.

Nothing in these Terms limits any refund or consumer rights that cannot legally be excluded.

15. Intellectual Property

All content created, owned, or provided by Alana’s Executive Supports, including but not limited to:

  • Website content

  • Logos

  • Branding

  • Graphics

  • Templates

  • Journals

  • Workbooks

  • Guides

  • Written content

  • Digital products

  • Marketing materials

  • Business materials

is protected by applicable intellectual property laws.

Unless otherwise agreed in writing, purchasing a product or service does not transfer ownership of Alana’s Executive Supports' intellectual property.

16. Client-Owned Materials

Clients retain ownership of materials, documents, content, trademarks, branding, and other intellectual property they provide to Alana’s Executive Supports.

By providing materials to us, the client represents that they have the legal right to provide those materials and authorize us to use them for the purpose of performing the agreed services.

17. No Guarantee of Business Results

Alana’s Executive Supports provides administrative and virtual assistant services but does not guarantee specific business, financial, sales, marketing, client-acquisition, revenue, or growth results.

Results may depend on factors outside our control, including the client's business model, market conditions, pricing, marketing efforts, customer behavior, and other circumstances.

18. Third-Party Platforms

Our services may require the use of third-party platforms, applications, websites, or software.

These may include email providers, scheduling platforms, CRM systems, payment processors, cloud storage services, social media platforms, website platforms, and other technology providers.

We are not responsible for outages, technical failures, policy changes, security incidents, or service interruptions caused by third-party platforms.

Clients remain responsible for maintaining their own accounts and complying with applicable third-party terms.

19. Website Use

You agree to use our website for lawful purposes only.

You may not:

  • Attempt to gain unauthorized access to our website or systems

  • Introduce malicious software

  • Interfere with website functionality

  • Copy or misuse website content

  • Use our website for fraudulent purposes

  • Violate applicable laws or regulations

  • Misrepresent your identity or affiliation

We reserve the right to restrict or terminate access to the website when reasonably necessary.

20. Disclaimer

Our website and general educational content are provided for informational purposes.

Clients are responsible for obtaining appropriate professional advice for matters outside the scope of our services.

21. Limitation of Liability

To the fullest extent permitted by applicable law, Alana’s Executive Supports will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the use of our website, products, or services.

Our liability, where legally permitted, will be limited to the amount actually paid by the client to Alana’s Executive Supports for the specific service giving rise to the claim during the applicable period.

Nothing in these Terms is intended to exclude liability that cannot legally be excluded or limited.

22. Indemnification

To the extent permitted by applicable law, you agree to indemnify and hold harmless Alana’s Executive Supports and its owner, contractors, and representatives from claims, damages, losses, liabilities, costs, and expenses arising from:

  • Your misuse of our website or services

  • Your violation of these Terms

  • Your violation of another person's rights

  • Materials or information you provide to us

  • Your violation of applicable laws or regulations

23. Force Majeure

Alana’s Executive Supports will not be responsible for delays or failures caused by circumstances beyond our reasonable control, including natural disasters, internet or technology failures, power outages, government actions, emergencies, labor disruptions, or other unforeseen circumstances.

We reserve the right to update these Terms & Conditions when necessary.

Updated terms will be posted on this page with a revised “Last Updated” date.

Your continued use of our website or services after updated terms are posted may constitute acceptance of the revised Terms to the extent permitted by law.

25. Governing Law

These Terms & Conditions will be governed by the laws applicable to Alana’s Executive Supports and the jurisdiction in which the business is legally established, without regard to conflict-of-law principles.

Any disputes will be handled in the appropriate jurisdiction as determined by applicable law and any separate written agreement between the parties.

26. Entire Agreement

These Terms & Conditions, together with any applicable Client Service Agreement, proposal, invoice, Refund Policy, Privacy Policy, or other written agreement, constitute the applicable understanding between you and Alana’s Executive Supports regarding the use of our website and services.

If there is a conflict between these Terms and a separately signed Client Service Agreement, the signed Client Service Agreement will control for the specific client engagement.
